AI File Redaction

Redact files beforethey reach AI

Employees upload Word and Excel files into AI tools every day. Aona redacts the sensitive content inline, before the file leaves the device, and the redacted copy keeps its original layout, tables, and formatting. DOCX and Excel are supported today. PDF redaction is in development. SOC 2 Type II certified.

Most tools block the file. Aona redacts it and hands it back.

Crude file controls give employees a dead end: the upload is blocked, the work stalls, and people find a workaround. Aona takes a different path. It removes the sensitive content inline and returns a clean, layout-preserving copy of the same Word or Excel document, so the employee keeps moving and the sensitive data never leaves the device.

How it works

Inline redaction in four steps

Redaction happens at the moment of upload, at the browser and endpoint layer, so it works even for AI tools accessed over encrypted HTTPS.

1

Employee attaches a file

An employee drags a Word or Excel file into ChatGPT, Copilot, Claude, Gemini, or any other AI tool. Aona sees the upload at the browser and endpoint layer, before the file leaves the device.

2

Aona inspects the contents

The file is scanned in place for sensitive content: PII, financial records, source code, and confidential business data. Detection runs at 97 to 99 percent accuracy with a 92.9 percent aggregate classification accuracy.

3

Sensitive content is redacted

Matching content is removed and a clean, redacted copy is produced. For DOCX and Excel, the layout, tables, headings, and formatting are preserved, so the document stays usable.

4

The safe copy goes to the AI tool

Only the redacted file is uploaded. Your policy decides the rest: redact silently, warn the employee, or block the upload entirely for file types that are not yet supported.

Available now

Layout-preserving redaction for Word and Excel

When Aona redacts a DOCX or XLSX file, it edits the document in place rather than flattening it to an image or stripping its structure. Headings, tables, cell formats, styles, and section layout all survive. The result is a document that still reads and works like the original, minus the sensitive content, so reviewers and AI tools can use it without friction.

Supported file types

What's available now, and what's in development

We are explicit about capability status. DOCX and Excel inline redaction is available today. PDF redaction is in active development and is not yet generally available.

Microsoft Word (DOCX)

Available now

Automatic inline redaction with full layout preservation. Headings, tables, styles, and structure stay intact.

Microsoft Excel (XLSX)

Available now

Automatic inline redaction across cells and sheets. Number formatting and table structure are preserved.

PDF

In development

Layout-preserving PDF redaction is on the roadmap and in active development. It is not generally available yet, and we will not claim otherwise.

Other file types

Policy enforced

For types without inline redaction yet, Aona still applies your policy: warn the employee or block the upload so sensitive data is never exposed.

PDF support timing matters for many rollouts. If it matters for yours, talk to us about the roadmap.

Use cases

Where inline file redaction earns its keep

Real situations where employees need to use AI on a document, and the document contains something that should never leave the building.

Share a contract draft without the client's PII

Legal and sales teams paste contracts and proposals into AI tools to summarise or rewrite them. Aona redacts names, addresses, and account numbers from the DOCX first, so the AI sees the structure, not the parties.

Analyse a spreadsheet without leaking financials

Finance teams ask AI to model or explain Excel workbooks. Aona strips account numbers, salaries, and other sensitive cells while keeping the layout, so the analysis still works on a safe copy.

Use AI on internal docs without exposing source code or secrets

Product and engineering teams drop internal documents into AI tools for editing. Aona detects embedded source code, credentials, and confidential strategy and removes them before upload.

Let employees move fast while staying compliant

Instead of banning file uploads outright, give employees a safe path: redact automatically, preserve the document, and keep an auditable record that supports SOC 2, GDPR, and HIPAA obligations.

FAQ

File redaction questions

To redact files before they reach an AI tool, you need redaction that runs inline at the moment of upload, not a separate manual step. Aona inspects each file an employee attaches to ChatGPT, Copilot, Claude, Gemini, or any other AI tool, detects sensitive content such as PII, financial data, and source code, and removes it automatically before the file leaves the device. For Word (DOCX) and Excel (XLSX) files, the redacted copy preserves the original layout, tables, and formatting, so the document stays usable. PDF redaction is currently in development.
