Prepare board papers for an AI summary

Board packs combine different confidentiality levels in one file: personnel matters, strategy, financial forecasts and routine updates. Permission to summarize one paper does not extend to every appendix. The useful summary must also preserve what directors are being asked to decide.

For Company secretariat and executive operations teams

Synthetic example

Synthetic example: an agenda briefing

A fictional secretariat wants to test a one-page briefing format. The invented paper includes a recommendation, alternatives and open questions. It is not an actual board discussion or evidence of any company's performance.

What you are working with

  • A PDF pack with several agenda papers and restricted appendices.
  • A financial table with assumptions and scenario-specific caveats.
  • A recommendation that distinguishes a decision from an item for noting.

A safer approach

  • Extract one approved synthetic paper with its relevant definitions and caveats.
  • Remove unrelated agenda items, identities and appendix links from the review artifact.
  • Request separate sections for decision, evidence, alternatives and unresolved questions.

Expected outcome: The assistant drafts a summary structure that the secretariat verifies against the paper. It does not replace the authoritative recommendation, minutes or directors' judgment.

Put it into practice

Work through the procedure

  1. Authorize a specific paper

Identify the paper owner and the permitted AI task. Confirm whether the receiving environment is appropriate for the paper's sensitivity. Use a synthetic briefing for format experiments; do not transfer a complete pack simply because it is easier to select one attachment.

  2. Preserve the decision context

Keep the distinction between items for decision, discussion and noting. Retain necessary caveats, alternatives and definitions alongside any approved numbers. Remove personal or deal-specific detail that does not support the task, but do not strip assumptions until a recommendation appears unconditional.

  3. Inspect the exported excerpt

Check page ranges, bookmarks, attachments, speaker notes where converted, and document properties. Verify that an exported PDF contains only the approved paper. Review headers and cross-references that may disclose another restricted agenda item even after its pages are removed.

  4. Reconcile the briefing

Check each summary statement against the approved source and recalculate any simplified figures separately. Make omitted context visible. If the output introduces a decision not present in the paper, reject that wording and retain the authorized recommendation verbatim where necessary.

Evidence before approval

What to check before proceeding

1. Pack boundary

Ready when
The artifact contains only the specifically approved paper and supporting context.
If the check fails
Re-export the excerpt and inspect the final file before sharing.

2. Decision fidelity

Ready when
The summary preserves the recommendation type, conditions and unresolved questions.
If the check fails
Correct it against the paper rather than smoothing away the caveats.

3. Financial meaning

Ready when
Numbers retain their period, units and scenario assumptions.
If the check fails
Remove the unsupported calculation or return it for finance review.

Common mistakes to avoid

  • A company name removed from a board paper may still be obvious from its strategy, forecasts or market context.
  • A concise summary can silently convert a conditional proposal into a recommendation or an approved decision.

Evaluate this workflow with Aona

Where Aona can help

Use synthetic board-paper fixtures to evaluate Aona's configured prompt and file policies. DOCX, XLSX and PDF are supported formats, but the intended provider, browser/native route and file behavior need verification.

What to confirm

Aona does not infer every board-confidential strategy or validate a recommendation. Managed policy processing uses a regional backend, and neither redaction nor a successful upload establishes board authorization.

FAQ

Questions about this workflow

This workflow prepares a source-grounded briefing, not a decision or official record. Responsible people must verify the wording and follow their established approval and minute-taking process.
